A DBS Tracker is a helpful service for anyone who is applying for a position that requires a DBS check, and employers whose staff need a DBS check to start work. It is a simple and convenient way to track a DBS application in progress, giving you a better idea of when you or your employee will be able to start work. Here at Aaron’s Department, we allow you to track your DBS Check through all the stages until it gets to you, allowing you peace of mind.
Can’t You Already Track DBS Applications?
Yes, you can – but it’s a manual process which involves logging into a government platform for each individual application you want to track. No one has time Our DBS tracker is different because it addresses these two main issues. You’re automatically notified of updates via email, and you’re able to check the status of all your employee’s applications at once on our portal.
Benefits of Using Our DBS Tracker
- Peace of mind. Our DBS tracker can give you peace of mind by letting you know what stage your (or your employee’s) application is at. This gives you a better idea of when you can expect to receive the results.
- Efficiency. Our DBS tracker can help you to be more efficient by saving you time and hassle. You don’t have to keep track of the status of your application yourself, and you can be sure that you will be notified as soon as your results are available.
- Judgement. As we mentioned, using a DBS tracker gives you a better idea of when you can expect to receive the results. One of the benefits resulting from this is that, as an employer, you can make more informed staffing decisions.
For example, if an employee’s check has been stuck at stage 4 for a while, it’s a sign that the police are experiencing difficulty processing the application*. Don’t count on them being able to work until the police resolve the issue!
*By the way, this doesn’t mean they’ve committed lots of crime! You can read more about the infamous Stage 4 by following this link to our blog, Why is my DBS Stuck at Stage 4?
What Are The Stages Shown by Our DBS Tracker?
There are 5 stages to a DBS application, as shown in our flowchart above. If you’d prefer a little more detail, however, we’ve included a complete guide to the five stages below:
The DBS Tracking Service: The Stages
Stage 1: The DBS Application is Received
When the DBS receives an application, they’ll check for any errors or omissions. If any are found, it is returned to our Countersignatories. This is very unlikely to happen, as our automated system & human countersignatories have already given each application a thorough checking.
Stage 2: The DBS Application is Reviewed
The applicant’s data is compared against details held on the Police National Computer, identifying possible matches.
Stage 3: Children’s and Adult’s Barred List Search (If Required)
If eligible for the applicants’ role, the Children’s and Adult’s Barred List check will be searched. This will tell you whether the individual is allowed to work with Children/Vulnerable Adults.
Stage 4: (Only for Enhanced Checks) Local Police Record Check
At this stage, the form is sent securely to any relevant local police forces for a check against their local records. The PNC is the UK’s criminal record database – we have a blog article available here if you want to find out a bit more about it: What is the PNC?
Stage 5: The DBS Certificate is Printed!
Once all the information has been found and checked, the DBS certificate is ready. All disclosed information is printed under highly secure procedures and posted to the applicant’s address. Only the applicant can reveal the information contained on their DBS certificate. However, our online system can tell you the result of the DBS check: whether it came back clean, or if you should wait to see the information on the certificate.
DBS Tracking With Aaron’s Department
The DBS tracking service we have created allows you to track multiple forms at once, which saves you having to manually check one at a time!
Our system sends you email updates as the stages progress, so you can get a better picture of how soon your employees will be able to start work.
The Aaron’s Department DBS Tracker even allows you to see your employee’s result online! We’re only allowed to say whether it’s a clean check or not, and you’re still legally required to see the real certificate before your employee starts work, but we like to provide peace of mind wherever we can.
