Keeping track of or your employees’ DBS checks can be tricky, as it involves manually entering an applicant’s details and reference numbers into the government portal, one by one. This can be time-consuming, especially if you then have to chase the applicant up for their details. Is there an easier way to see your employees’ DBS check statuses?

DBS Check Status Stages

One of the easiest ways to check DBS check statuses is to use a DBS tracking service. Umbrella Bodies, such as ourselves, sometimes offer a service which talks to the government system to find your DBS check status. This is measured in stages 1 to 5, and different DBS checks will pass through different stages depending on the level of check requested. Have a look at the flowchart below to see what stage your DBS check status could show.

Stage 1) Once the check has been countersigned and arrives with the DBS, they will check the information provided for any mistakes. These could include incorrect addresses, names, titles, or if the wrong level of check has been requested.

Stage 2) The applicant’s details are searched on the Police National Computer. This is the database that holds all criminal records & associated information for the whole of the UK.

Stage 3) This is where the DBS check status flowchart diverges – only Enhanced check applications requiring a barred list check progress to stage three. Here, the DBS performs a check to see whether the applicant is barred from working with children or vulnerable adults.

Stage 4) Enhanced checks then progress to stage 4, which consists of local branches of the police force – “local” to all the applicant’s previous addresses from the past 5 years – checking their non-PNC record and compiling any additional information about the applicant they deem relevant for the role. Stage 5) The check is complete – the certificate is due to be printed, or is already in transit.
